How to show change orders on a pay application
Approved change orders change the contract sum, so they appear in three places on a G702/G703-style pay application.
- The continuation sheet: each approved change order gets its own line with its value in column C, billed like any other line. A deductive change order has a negative scheduled value.
- Line 2 of the application: the net of all approved change orders.
- The change order summary: additions and deductions approved in previous months and this month.
Keep line 3 equal to column C
Line 3 (contract sum to date) must equal the total of column C. If a change order is on line 2 but missing from the continuation sheet, or the other way round, the application won't tie out — Drawsheet flags the difference.
Pending change orders
Most contracts only allow billing on approved change orders. Track pending ones separately and add them when they're signed.
In Drawsheet
Click Add change order, or import lines whose item starts with CO-, CCO or PCO, or whose description starts with “Change order”. Set the approval date so the summary puts it in “this month” or “previous months”. Pro exports a change-order log CSV.
